How to connect email accounts to MailMoo (Gmail, Outlook, and IMAP)

Overview

MailMoo allows you to connect your email accounts to send personalized email outreach as part of your sequences. Once connected, you can use your email accounts alongside LinkedIn to create multi-channel campaigns.

Supported Email Providers

MailMoo supports any email provider that offers IMAP/SMTP access, including:

  • Gmail / Google Workspace

  • Outlook / Microsoft 365

  • Custom domain emails (via any email hosting provider)

Before You Connect

Before connecting your email account, make sure you have proper DNS records configured to maximize deliverability and avoid landing in spam. See our guide on Email DNS Records for Better Deliverability for detailed instructions on setting up SPF, DKIM, and DMARC records.


What You'll Need

To connect any email account, you'll need:

  • Email address and password (or App Password for Gmail)

  • IMAP server (for receiving): e.g., imap.gmail.com

  • IMAP port: Usually 993 (SSL) or 143 (TLS)

  • SMTP server (for sending): e.g., smtp.gmail.com

  • SMTP port: Usually 465 (SSL) or 587 (TLS)


Connecting a Gmail Account

For Gmail accounts, you'll need to use an App Password instead of your regular Google password. This is the simplest and most secure method.

Step 1: Enable 2-Step Verification

App Passwords require 2-Step Verification to be enabled on your Google Account.

  1. Go to your Google Account Security settings

  2. Under "How you sign in to Google," select 2-Step Verification

  3. Follow the prompts to enable it

Step 2: Create an App Password

  1. Go to your Google App Passwords page

  2. You may need to sign in again

  3. Enter a name for the app (e.g., "MailMoo")

  4. Click Create

  5. Google will display a 16-character password β€” copy this immediately (you won't be able to see it again)

Step 3: Connect in MailMoo

  1. Navigate to My Sales Team in MailMoo

  2. Click Add Email Account

  3. Enter your Gmail address

  4. Paste the 16-character App Password (not your regular Google password)

  5. Use the following server settings:

  • IMAP Server: imap.gmail.com

  • IMAP Port: 993

  • SMTP Server: smtp.gmail.com

  • SMTP Port: 587

6. Click Connect


Connecting an Outlook / Microsoft 365 Account

Step 1: Get Your Server Settings

For Outlook.com accounts:

  • IMAP Server: outlook.office365.com

  • IMAP Port: 993

  • SMTP Server: smtp.office365.com

  • SMTP Port: 587

For Microsoft 365 business accounts, the settings are typically the same, but check with your IT administrator if you encounter issues.

Step 2: Connect in MailMoo

  1. Navigate to My Sales Team in MailMoo

  2. Click Add Email Account

  3. Enter your Outlook email address and password

  4. Enter the IMAP and SMTP server settings above

  5. Click Connect

Note: If your organization uses multi-factor authentication, you may need to create an App Password in your Microsoft account settings.


Connecting Other Email Providers

For other email providers, you'll need to obtain your IMAP and SMTP settings from your provider.

Steps to Connect

  1. Navigate to My Sales Team in MailMoo

  2. Click Add Email Account

  3. Enter your email address and password

  4. Enter your IMAP server address and port

  5. Enter your SMTP server address and port

  6. Click Test Connection to verify the settings

  7. Click Connect

Tip: Contact your email hosting provider if you're unsure of your IMAP/SMTP settings.


Troubleshooting

"Authentication failed" error

  • Double-check your email and password

  • For Gmail, make sure you're using an App Password, not your regular Google password

  • For other providers, check if "less secure app access" needs to be enabled or if you need an App Password

"Connection timed out" error

  • Verify the server addresses and ports are correct

  • Check if your firewall or network is blocking the connection

Emails landing in spam

  • Make sure your DNS records (SPF, DKIM, DMARC) are properly configured
